EXPLANATION BACKOFFICE SYSTEM

Below you will find a concise explanation of the sales process and the options within the menu. If you are logged in in your environment of the back-office system you will find the menu with the various options on the left. Through this menu you can easily navigate to the different sections of the menu.

HOW DOES THE SALES PROCUREMENT WORK?

  1. the customer searches for a destination and wants to request a proposal for a predefined trip like a itinerary on our site or a tailor-made itinerary.
  2. the customer clicks [Reisvoorstel Aanvragen] and completes the form and presses [send].
  3. the customer automatically receives an email with a confirmation of the request.
  4. as Travel Specialist (TS) you automatically receive an email with a request to make a proposal.
  5. you log in and see the application under the menu travel proposals as status ‘new request’
  6. you can upload the travel proposal and you can customize an accompanying text and prices in the email and the text for the travel proposal as desired. (See explanation menu per item below)
  7. if the proposal is not finished and you want to edit it later, just press [update] so that the version is saved.
  8. when the proposal is ready, you can check it by clicking [view PDF] and you can check how the quote looks like. By clicking on [send proposal] the email is sent to the customer with the travel proposal and quote as an attachment.
  9. if you want to send more attachments, for example additional information about the country, you can do so by clicking [Add attachment] and selecting an attachment that you have saved in your media.
  10. the customer receives the travel proposal by e-mail and he/she can reply by e-mail if he/she is interested or not and/or wishes to make certain changes.
  11. if the customer does wish to adjust things, you can open the proposal and adjust where necessary. (See explanation menu per item below)
  12. if the customer wants to confirm your proposal, you can open the proposal (and adjust where necessary; for example, to adjust final prices or final accommodations.) By clicking on the [final proposal] at the bottom of the travel proposal, the proposal becomes a confirmation. You can send it by pressing send.
  13. the customer receives an email with the final travel proposal as an attachment. Because the [final proposal] is agreed, the customer can click on [confirm] in the proposal.
  14. if the customer clicks [confirm] then the online confirmation form will be opened where all necessary information must be entered. After having filled in everything, the customer can click on confirm and pay their deposit. All additional information that the customer fills in the system is shown in the travel proposal for you.
  15. the customer pays 25% of the trip to + 15,- booking fee and 2.50 contributions to calamity fund per person, all online via Ideal.
  16. After payment the customer and TS will receive an automatic email confirming the trip.
  17. the customer receives an extra invoice of 75% about 8 weeks before departure.
  18. if the customer wants to make changes after deposit and confirmation, this is possible (see explanation menu per item below)
  19. you can email any additional information or specific appointments yourself directly to the customer before the start of the trip, via your own ATWT email address.
  20. the customer is ready to travel!

EXPLANATION MENU PER ITEM

Below you will find an explanation of the parts per menu item.

Under this menu item you manage the photos and PDF documents that can be used on the website and/or with your travel proposals.

You can add documents by clicking on media> new file and dragging a photo or document into the field or clicking [select files] and selecting a file from your own files on your own computer. The document is now automatically uploaded and placed in your media library.

You can edit a photo by selecting a photo within the media library and clicking on [edit] below the photo. Here you can give the photo a name (to easily find the photo), crop it if necessary and place it in a certain folder.

 

The name and the alternative text of the name are contributory to the findability of ATWT and the photo itself in Google. Make sure you use those fields with a correct description of the photo.

You cannot edit a PDF document within this system. You can edit the PDF and upload it again.

Explanation products and online offer

We present your travel itineraries on our website. These are the package tours that have been sent by you and that have been published by ATWT on the site. You can manage these trips yourself. Adjustments to the itinerary are made easy by clicking on the relevant product within the menu item ‘products’ and making the adjustments.

When creating or adjusting products, we distinguish between the total itinerary (package tour) itself and the individual days. Both are products in our system.

The package tour is a bundle of simple products. This is called a Yith_Bundle product and the individual days are the products that you use to compile a package tour. We call this a simple product.

These products are created or modified in the same way within the same field. (see below) A simple product that has been created can be used in any bundle or multiple bundles.

You can customize a product by clicking on products in the menu. The list of your products is opened and you click on [edit] for the product you want to change. The list contains both bundle products and simple products.

In the navigation bar above you can possibly search for products with a filter.

A Yith_Bundle product is the complete itinerary with the description and content of this package tour as it is presented on our website.

 

You can make the following adjustments:

 

Name of the package tour: first content block

Description of the trip: 2nd content block

The banner photo: see banner photo

From which day parts (simple products) this trip exists: under product data> bundled items. From here it is also possible to easily modify products, simply add products, move or remove them.

The points ‘why this trip is booked’ right column> extra information

The price of the trip: under product data> general

The latitude and longitude of the Google map: right column> longitude / latitude / zoom

The number of days and the text does not include an international flight: right-hand column

Additional information> price

NOTE: other fields do not need to be filled in.

A simple product is the description and content of the day items as shown on the site and in the travel proposal.

 

You can make the following adjustments:

Name of the day: For example, day 1 reception at the airport.

Description of the day: content and explanation of the day

Extra information of the day: possibly background information about a city to visit or something similar.

Overnight: where will be overnight

Number of nights: how many nights

Extra information: what is included or not.

Product image: in the right column the photo that is shown during the day can be adjusted.

NOTE: other fields do not need to be filled in.

Clicking on [new product] opens a new page. Determine whether you want to create a bundle of product or a simple product.

At the product data, you can indicate whether it is a simple or bundle product and fill in the fields as described above.

 

If you create a bundled product, you can indicate from product data> bundled items> from which simple products the bundle exists. The order of the simple products can easily be adjusted by standing on the simple product and dragging it to the desired location.

Every adjustment or new product can be saved by clicking the publish button. This product is not directly visible on the website. ATWT receives a request for approval. We assess the adjustment within 24 hours and when we agree with the changes, the adjustment is published online.

You can create a simple product and make sure that the ‘Show in cost overview’ button is ticked. (under the button Singel product requesting price settings) The cost of this product is now shown in the cost overview. Standard 82% fee is charged on these costs. Is there a different fee distribution? Then ask ATWT.

Under Reisvoorstellen you will find all requests and you can edit the requests to a proposal or a confirmation. In the overview you will find all requests and the status of the requests. By clicking on a request, the requests opens and you can edit the request.

If the proposal is not finished yet and you want to edit it later, press [update] so that the version is saved.

 

When the proposal is ready, you can check it by clicking [view PDF] and checking how the travel proposal looks like. By clicking on [send proposal] the email is sent to the customer with the travel proposal as an attachment.

If the customer agrees to a travel proposal, the proposal can be made final, adjusted where necessary (for example, if an accommodation changes due to availability) and the proposal can be converted to a confirmation. You finalize the proposal by selecting the check mark at the bottom of the travel proposal.

 

The final travel proposal can now be sent. From this travel proposal, the customer can click on a link to make the confirmation final. The online confirmation form then opens where the customer can fill in any missing details and make the down payment.

Yes, this is possible. The products that are included in a travel proposal are a copy of the original product and can be adjusted indefinitely. This does not affect the original product in the system and online, which remains unchanged.

 

The content of a product in the travel proposal can be adjusted by clicking on the icon on the left.

 

You only adjust the original products if the changes are permanent.

In the menu item “reisvoorstellen” you can see all your travel proposals and their status. After each adjustment, the status is automatically adjusted. A travel proposal can have the following status:

 

  • Trash: these are proposals that you have removed yourself.
  • Waiting for payment: if a proposal has been sent for confirmation.
  • In treatment: when a proposal has been sent.
  • Completed: if a proposal has been confirmed by the customer.
  • Canceled: if the customer rejects the proposal, you can change this status eleven.
  • Request new travel proposal: a new application.
  • Travel proposal in progress: if the proposal has been made but has not yet been sent.
  • Expired travel proposal: you can indicate how long a proposal is valid. If this date has expired, the travel proposal has expired.

The status is automatically adjusted but you can also adjust it yourself. If a trip has been completed but you still want to change the content, you can change the status by opening the travel proposal and in the top column, adjust the status and click on update on the right.

Add costs in the travel proposal

The price of the bundle product, the tour in total, can always be adjusted but you can also add a number of costs / products that are calculated and shown in the cost overview. A different fee is charged for some of these products.

Extra cost / Extra kosten

This product can be added to the list of products in the travel proposal like any other product. Like any other product, you can adjust the title and content. With this product you can enter the costs and these costs are shown in the cost overview.

The fee for this product is 82%

Domestic flights / binnenlandse vlucht

This product can be added to the list of products in the travel proposal like any other product. Like any other product, you can adjust the title and content. With this product you can enter the costs and these costs are shown in the cost overview.

The fee for this product is 100% (as Travel Specialist you will receive 100% of this amount)

Amendment fee/ wijzigingskosten (only used for changes after confirmation)

This product can be added to the list of products in the travel proposal like any other product. Like any other product, you can adjust the title and content. This product has a fixed price of 30, – and is shown in the cost overview.

The fee for this product is 50% (as Travel Specialist you will receive 50% of this amount)

Why are these simple products shown in the cost overview and other simple products don’t?

These simple products are shown in the cost overview because by creating this product the button ‘Show in cost overview’ is set. (under the button Singel product requesting price settings)

Create a product yourself that is shown in the cost overview.

You can create a simple product and make sure that the ‘Show in cost overview’ button is ticked. (under the button Singel product requesting price settings) The cost of this product is now shown in the cost overview. Standard 82% fee is charged on these costs. Is there a different fee distribution? Then ask ATWT.

Under the menu item ‘commissions’ you can see how much you have sold, what your turnover is and what the status of the payment is. ATWT makes the payment in good order 7 weeks before the start.

If a trip has been booked definitively, the amount of (82% of the trip) will be shown in the overview which can be invoiced to ATWT. We would like to receive this invoice no later than one week before departure. You can send this invoice in PDF to facturen@aroundtheworldtravel.nl. Addressed to ATWT and stating the booking number.

We pay the invoice in the agreed currency on the bank as agreed. The bank charges for the transfer are at the expense of ATWT. The bank charges for receiving the (international) payment on your own account are not paid by ATWT.

ATWT uses the exchange rate of the moment the trip is confirmed by the customer.
