EXPLANATION BACKOFFICE SYSTEM
Below you will find a concise explanation of the sales process and the options within the menu. If you are logged in in your environment of the back-office system you will find the menu with the various options on the left. Through this menu you can easily navigate to the different sections of the menu.
HOW DOES THE SALES PROCUREMENT WORK?
- the customer searches for a destination and wants to request a proposal for a predefined trip like a itinerary on our site or a tailor-made itinerary.
- the customer clicks [Reisvoorstel Aanvragen] and completes the form and presses [send].
- the customer automatically receives an email with a confirmation of the request.
- as Travel Specialist (TS) you automatically receive an email with a request to make a proposal.
- you log in and see the application under the menu travel proposals as status ‘new request’
- you can upload the travel proposal and you can customize an accompanying text and prices in the email and the text for the travel proposal as desired. (See explanation menu per item below)
- if the proposal is not finished and you want to edit it later, just press [update] so that the version is saved.
- when the proposal is ready, you can check it by clicking [view PDF] and you can check how the quote looks like. By clicking on [send proposal] the email is sent to the customer with the travel proposal and quote as an attachment.
- if you want to send more attachments, for example additional information about the country, you can do so by clicking [Add attachment] and selecting an attachment that you have saved in your media.
- the customer receives the travel proposal by e-mail and he/she can reply by e-mail if he/she is interested or not and/or wishes to make certain changes.
- if the customer does wish to adjust things, you can open the proposal and adjust where necessary. (See explanation menu per item below)
- if the customer wants to confirm your proposal, you can open the proposal (and adjust where necessary; for example, to adjust final prices or final accommodations.) By clicking on the [final proposal] at the bottom of the travel proposal, the proposal becomes a confirmation. You can send it by pressing send.
- the customer receives an email with the final travel proposal as an attachment. Because the [final proposal] is agreed, the customer can click on [confirm] in the proposal.
- if the customer clicks [confirm] then the online confirmation form will be opened where all necessary information must be entered. After having filled in everything, the customer can click on confirm and pay their deposit. All additional information that the customer fills in the system is shown in the travel proposal for you.
- the customer pays 25% of the trip to + 15,- booking fee and 2.50 contributions to calamity fund per person, all online via Ideal.
- After payment the customer and TS will receive an automatic email confirming the trip.
- the customer receives an extra invoice of 75% about 8 weeks before departure.
- if the customer wants to make changes after deposit and confirmation, this is possible (see explanation menu per item below)
- you can email any additional information or specific appointments yourself directly to the customer before the start of the trip, via your own ATWT email address.
- the customer is ready to travel!
